Each week you lead, your team needs to know the songs that you are going to be playing, the arrangements that you are going to be doing, the keys that you are playing in, and they will also need to know what time you are going to rehearse together.
One of the most effective ways to relay information to your team is to send out an email. The purpose of the email should be to let your team know only what they NEED to know. Here is an example of how you could write your email:
Hi team, I hope you are all doing well!

My Savior Lives in B – Song Leader
Lord Almighty in A – Song Leader
Forever (We Sing Hallelujah) in A – Song Leader
Lord, I Need You in Bb – Song Leader

I would suggest sending this type of email each week you are going to lead your team. The info that is provided in this example contains the essentials of what people would need to know to be ready and prepared. As long as you point them to the correct resources, you should be able to trust them to go and get everything themselves. Above all else, you want your emails to be clear and concise, so that everyone will operate to their full potential.
Now, if there is a heart issue that needs to be addressed with a specific team member, or even the team as a whole, it is always better to have a personal conversation after/at rehearsal. In a personal conversation you will be able to see and hear how people are reacting to what you are saying, and you will protect yourself against miscommunications through text.
